Custom Hat Adjustments & Satisfaction Policy

Every Rom Baro hat is individually shaped, finished, and detailed by hand. Because of the handmade nature of the process, no two hats will be completely identical. Subtle variations in crown shape, brim shape, dimensions, symmetry, texture, distressing, stitching, and finishing are natural parts of a handcrafted hat and contribute to the individual character of each piece.

Natural variations or minor blemishes may also occur in the felt itself. These can include slight differences in texture, density, color, nap, surface character, or small natural marks within the felt body. Such characteristics may not be removable or correctable without damaging the felt or compromising the integrity of the hat. They are not considered defects unless they materially affect the hat’s structure, function, durability, or agreed-upon design.

Reference Photos & Other Hat Makers

Reference photographs are welcome and are extremely helpful for communicating the overall style, proportions, crown shape, brim treatment, and character you would like for your hat.

Reference photographs are used as inspiration and design guidance, not as a guarantee of exact reproduction.

Rom Baro Hats does not guarantee an exact duplication of another hat, including a hat made by another hat maker. Differences in felt bodies, materials, blocking methods, tools, shaping techniques, finishing processes, photography, and the individual hand of the maker can all affect the final appearance.

The goal is to create a Rom Baro interpretation of the agreed-upon design while maintaining the character of a genuinely handmade hat.

Design Approval

Before construction begins, the major elements of your hat will be established through our conversations, measurements, reference photographs, and approved proposal.

These may include the felt type and color, general crown style and approximate height, brim width and shape, hatband, brim binding, decorative elements, distressing, and other specifically requested details.

Once approved, these specifications become the basis for evaluating whether the completed hat reflects the agreed-upon design.

Handmade Variations

Custom hatmaking is not a machine-manufacturing process. Small differences between a completed hat and a photograph, digital mockup, reference hat, or another maker’s work are not automatically considered defects.

Minor variations in curves, creases, dents, brim movement, crown transitions, symmetry, dimensions, and other hand-shaped elements should be expected.

Natural variations or minor blemishes in the felt may also be present and may not be possible to remove or change. These characteristics are part of the individual felt body and are not considered defects unless they materially affect the hat’s structure, function, durability, or agreed-upon design.

A request to make one handmade hat visually identical to another maker’s finished hat is not considered a correction of workmanship.

Client-Supplied Hatbands, Accessories & Materials

Rom Baro Hats welcomes the opportunity to incorporate personally meaningful hatbands, conchos, pins, feathers, jewelry, vintage pieces, or other client-supplied accessories when appropriate.

However, because these items are not sourced, manufactured, or inspected prior to purchase by Rom Baro Hats, Rom Baro Hats cannot guarantee their condition, durability, dimensions, fit, compatibility, colorfastness, construction, or suitability for installation on a particular hat.

It is the client’s responsibility to provide accurate information regarding the size, dimensions, condition, and intended use of any client-supplied item.

Sizing & Compatibility

Providing an accessory to Rom Baro Hats does not guarantee that it can be successfully installed or incorporated into the finished hat.

Hatbands supplied by the client may be too short, too long, too wide, too narrow, or otherwise unsuitable for the dimensions or construction of the finished hat. Other accessories may not attach securely or may interfere with the hat’s shape, materials, or intended design.

Rom Baro Hats will make reasonable efforts to determine whether a supplied item can be used but does not guarantee the fit or compatibility of client-supplied materials or accessories.

If an item is determined to be unsuitable, Rom Baro Hats may decline to install or modify it.

Condition & Pre-Existing Damage

Clients should carefully inspect all items before sending them to Rom Baro Hats.

Vintage, handmade, previously worn, delicate, brittle, aged, or otherwise used accessories may contain weaknesses or damage that are not immediately visible.

Rom Baro Hats is not responsible for pre-existing wear, deterioration, discoloration, cracking, loose components, weakened stitching, material failure, or other conditions inherent to a client-supplied item.

Modification & Installation

Some client-supplied accessories may require bending, trimming, punching, stitching, fastening, reshaping, or other modification in order to incorporate them into a hat.

Any such work carries some risk, particularly with vintage, handmade, delicate, or previously used items.

Rom Baro Hats will exercise reasonable care when handling and installing client-supplied items but cannot guarantee that an item will remain unchanged during necessary fitting or installation.

Rom Baro Hats reserves the right to decline any modification or installation that could reasonably damage the accessory or compromise the quality or integrity of the hat.

Shipping Client-Supplied Items

Clients are responsible for securely packaging and shipping their items to Rom Baro Hats.

Rom Baro Hats is not responsible for loss, theft, damage, or delay occurring before an item is received by Rom Baro Hats. Clients are encouraged to use tracking and appropriate shipping insurance, particularly for valuable, sentimental, vintage, or irreplaceable items.

Clients should not send highly valuable or irreplaceable items without discussing them with Rom Baro Hats beforehand.

Valuable or Sentimental Items

Please inform Rom Baro Hats before sending an accessory that has significant monetary, historical, or sentimental value.

Rom Baro Hats reserves the right to decline installation of an irreplaceable, unusually valuable, fragile, or high-risk item.

Whenever possible, clients should consider using a reproduction or substitute rather than an irreplaceable original.

Adjustments

If something about your completed hat does not feel right, please communicate the concern as specifically as possible.

When reasonable and technically appropriate, Rom Baro Hats will make adjustments to the original hat to bring it closer to the approved design.

Some elements of a finished felt hat can be reshaped or modified. Others cannot safely be changed after construction without risking damage to the felt, components, or overall integrity of the hat. Natural characteristics or blemishes within the felt may likewise be permanent and cannot necessarily be corrected.

Rom Baro Hats reserves the

right to decline an adjustment when continued manipulation could compromise the quality or integrity of the hat.

Design Changes After Approval

Requests that change the previously approved design are considered design changes rather than corrections.

This includes deciding after completion that you prefer a different crown shape, brim treatment, dimensions, hatband, or other design element when the completed hat reasonably reflects the design originally approved.

When technically possible, Rom Baro Hats may accommodate requested design changes. Additional labor, materials, or components may result in an additional charge.

Remakes

Because every Rom Baro hat is individually made from materials specifically selected for the client, Rom Baro Hats does not guarantee or automatically provide replacement hats or remakes.

The first course of action will be to determine whether reasonable adjustments can be made to the original hat.

Deposits & Resolution

Deposits on custom hats are generally nonrefundable because materials, components, design time, and production time are committed specifically to each client’s order.

However, Rom Baro Hats believes in taking responsibility for its workmanship.

If a completed hat materially differs from the approved design due to an error by Rom Baro Hats, and reasonable adjustments cannot correct the issue, Rom Baro Hats may offer cancellation of the order and a refund of the client’s deposit.

When a deposit is refunded under these circumstances, the hat remains the property of Rom Baro Hats. A refund is not generally offered when the completed hat reasonably reflects the approved design but the client later changes their preference, requests a different design, prefers the appearance or shaping style of another hat maker, objects to natural characteristics of the felt, or when a client-supplied accessory does not fit, function, or appear as the client anticipated.

We welcome thoughtful feedback and will make reasonable efforts to address legitimate concerns. At the same time, choosing a handmade custom hat means choosing the individual craftsmanship, materials, and shaping style of the maker.

Each Rom Baro hat is created by hand—not reproduced by machine—and the subtle individuality of the finished piece is part of what makes it uniquely yours.
